Exhibitor Rates & Registration

The HRSouthwest Conference is full of opportunities for exhibitors to do business with HR professionals on a regional scale. Last year, more than 72% of attendees indicated they are decision makers or make final buying decisions about products and services for their companies. 

The exhibit floor is called the marketplace and is the “hub” of the conference – centrally located with an electric atmosphere, attendees come to you during dedicated hours for lunch, breaks and the Marketplace Welcome Reception on Monday evening. In 2019, more than 87% of attendees visited with exhibitors in the Marketplace!

What’s Included with my Booth?

  • One 8’ x 10’ carpeted space (inline or corner) includes, draped back and side “wall(s)”, three foot high draped side wall(s), company sign, one six foot skirted table, two chairs and one wastebasket
  • Two booth staff registrations per 8′ x 10′ booth. Includes lunch, access to VIP Sponsor & Exhibitor Lounge, education sessions, and general sessions. Additional booth staff can be registered for $135 per person Note: Limit of three staff in a 8′ x 10′ booth at any one time.
  • Pre-conference exposure with company listing and logo on website, including contact information, product/service categories, company description and link to your company website or custom landing page.
  • Onsite exposure with standard company listing and logo in the conference mobile app, including contact information, description and link to your company website or custom landing page.

How Can I Make an Impact?


  • Marketplace Game Card Space$599

The Marketplace Challenge game is our exhibit floor traffic driver. A traditional printed “passport” style game includes squares with your company name or logo and booth number. Attendees complete the game card by visiting participating exhibiting companies. Completed cards are turned in for several chances to win big prizes over the 2.5 day conference. Spaces are limited, first come first served and due dates apply.

  • Pre-Conference Attendee Mailing list$595

Invite attendees to your booth one full month before the conference begins. Pre-conference mailing list includes both mailing and email address if provided by registrant. Post event mailing lists are not available for sale. 

Be Aware of Fraudulent Attendee Lists. The HRSouthwest Conference does not sell attendee or exhibitor lists to third parties.  Conference attendee lists are offered for purchase to contracted sponsors and exhibitors only. While these offers may seem legitimate and sound appealing, only lists from The HRSouthwest Conference organizers should be trusted. If you are contacted by a third party to purchase a list of HRSouthwest Conference attendees and would like to report it or if you have additional questions, please contact us at exhibitors@hrsouthwest.com

Host a demo, share details of your product or share best practices on the services you provide with a 20-minute presentation on the Knowledge Hub stage. Located on the Marketplace floor, presentations run throughout the day and include presentations by subject matter experts and participating exhibitors.

  • Large Website Advertisement (600 x 300)$895

  • Medium Website Advertisement (250 x 300)$695

  • Small Website Advertisement (150 x 300)$495

Digital advertisements, available in three different sizes, get the attention of conference website visitors throughout the year. Communication to past and prospective attendees drive traffic continuously to the site and your ad drives them to your website or your custom event landing page. (Exhibitor provides advertisement.   • Mobile App Banner Advertisement$500

With more than 215,000 total page views and 2,387 unique visitors in 2019, the conference app is a great place to promote your company before, during and after the conference. Banner ads run continuously on various pages of the mobile app and when clicked, link back to your exhibitor listing or your website. In 2019, banner ads produced more than 14,500 impressions over 2.5 days.  (Limited banner ads available. Exhibitor provides advertisement. Due dates apply).

  • Conference Bag Insert$500

Each attendee receives a conference bag at registration. Include a fun give away or marketing piece in the conference bag. Use this opportunity to drive attendees to your booth. (Exhibitor provides collateral or give away Dues dates apply).
