Should you require overnight accommodations, hotel booking is available in the Travel & Hotel section of hrsouthwest.com. Speakers will be financially responsible for their own travel, hotel accommodations and parking. The HRSouthwest Conference partners with airlines, ground transportation providers and hotels to offer special rates to our speakers and attendees. In order to obtain special Conference rates, be sure to mention that you are part of The HRSouthwest Conference. Hotel blocks fill up fast, so please make your reservations as soon as possible. Complimentary AV equipment included in each room includes:
- Projection screen
- LCD Projector
- 4-Channel Mixer
- Wired Microphone at Podium
- Wireless Microphone (1 Lavaliere or 1 Handheld)

Apple/Mac device users, please bring a dongle cable to connect to the projector.
Policy on Videotaping
As a reminder, videotaping is not permitted during your session. However, HRSWC reserves the right to capture educational content per the speaker agreement.
Presentation & Handouts
All educational session presentations should utilize the official HRSouthwest Conference PowerPoint template. To download the template, please click here.
Registered Conference participants will have the option of viewing session handouts via the online session directory, online speaker directory and mobile app. These reference materials are highly valued by Conference participants and speakers are strongly encouraged to make handouts available in this format. Handouts can be submitted via your speaker registration profile. The deadline to submit downloadable session handouts is September 20, 2016. Specific instructions will be distributed via email 4-6 weeks prior to HRSWC.
All handouts distributed at HRSWC are responsibility of the speaker. If you prefer to ship your handouts in advance, they need to arrive no later than Friday, September 16, 2016. The Conference organizers will deliver your session handouts to the Fort Worth Convention Center if they are received by the deadline at:

If shipment will arrive after September 16, please follow the recommendations below:
- Ship directly to your hotel and bring handouts with you to the Convention Center OR
- Ship by FedEx to the FedEx Office at 901 Houston Street (one block away) and pickup when you arrive onsite OR
- Send the copy job the FedEx Office at 901 Houston Street and pickup when you arrive onsite

On-Site Contact Person: Please put your session coordinator’s contact information into your phone in case you need to get in contact with them the week of the event.
Arrival Time and Badge Pick-Up
Please allow plenty of time for traffic due to rush hour, construction and parking. It is recommended that you arrive at the Fort Worth Convention Center no less than 1 hour before your session begins. Go directly to the Speaker Prep Room (Rm 101) to pick up your badge and to meet with your session’s coordinator.

Wi-Fi access for your presentation is available for purchase onsite at the speaker’s expense.
Snacks and water will be available for speakers.
As a speaker at the HRSWC you receive a complimentary all access registration. Your name badge will provide you access to all events. Photo ID will be required for identification & security purposes. If you would like to bring a guest to the Monday Welcome Reception or Tuesday evening Closing Reception, passes are available for purchase at $50 per event at the Conference on-site Registration desk. Please note, speakers are not eligible for official Conference prize drawings.
If you require a technical assistant for your educational session, please contact email@example.com. Each speaker is allowed one (1) technical assistant and they will have access only to your session. Please note the, technical assistant will be required to leave a photo ID in the Speaker Prep Room during your session and return their badge immediately after the session.
Please remember that speakers may not use the Educational Sessions platform to promote, market or sell a product or service, or to solicit attendee contact information. This includes distribution of forms, price lists or other marketing material. However, speakers are welcome to include their company name and contact information on the first or last page of their handout, reference books or articles that they have authored (if appropriate in the context of the session content) and distribute business cards upon request at the end of the session.
